Who we are

Portland Solutions ("we", "us") provides compliance, quality and assurance support to organisations delivering publicly funded provision. We are the data controller for personal information collected through this website. You can contact us at info@portlandsolutions.co.uk.

What we collect and why

Enquiries. When you use the consultation form we collect your name, organisation, email address, telephone number, the contracts you hold, the type of support you are interested in and anything you write in the message box. We use this to respond to your enquiry and, if you go on to work with us, to set up and deliver our services. Our lawful basis is our legitimate interest in responding to enquiries and taking steps at your request before entering into a contract.

Newsletter. If you subscribe to our insights we collect your email address and the date you subscribed. We also record when our emails are opened or a link is clicked so we can see which topics readers find useful. Our lawful basis is your consent, which you can withdraw at any time using the unsubscribe link in every email.

Website statistics. We use Cloudflare Web Analytics, which counts page views without cookies or fingerprinting and does not identify individual visitors.

Correspondence. If you email or call us we keep the correspondence for as long as needed to deal with it.

Who we share it with

We use a small number of trusted suppliers to run this website and communicate with you: Cloudflare (hosting and security), Supabase (the secure database that stores enquiries and subscriber details) and Microsoft 365 (email). Each processes information only on our instructions and under a written contract. We do not sell personal information and we do not share it with third parties for their own marketing.

How long we keep it

Enquiries are kept for up to 24 months after our last contact with you. If you become a client, records are kept for the life of the engagement and for six years afterwards for accounting and legal purposes. Newsletter subscriptions are kept until you unsubscribe, after which we keep a minimal record of the unsubscribe so that we do not email you again.

Where it is stored

Our suppliers may store information in the United Kingdom, the European Economic Area or the United States. Where information leaves the UK it is protected by safeguards approved under UK data protection law, such as the International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework.

Your rights

You have the right to ask for a copy of the personal information we hold about you, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable format. To exercise any of these rights, email info@portlandsolutions.co.uk. We will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this notice

We review this notice at least once a year. The date of the last update is shown at the top of this page.
